A Guide to the 2020 - 2021 School Safety Process
Roles and Responsibilities
There is a role for all PXU stakeholders in the Redesigning School Safety PXU Participatory Budgeting process, but different people have different roles and responsibilities, based on their interest and time commitment. We encourage everyone to both participate in the process and encourage others to participate!
Site-level Stakeholder Committee Member
- Must be a member of the appropriate stakeholder group (i.e. current employee from campus/site, currently enrolled student and/or parent/guardian of a currently enrolled student)
- Committee members may attend as many or as few meetings feasible to their individual schedule or circumstances, however we encourage committee members to stay engaged in the process and attend as many meetings as they can
- Familiarize self with the Safe Schools Participatory Budgeting guiding principles and goals
- Attend meetings with an open mind, a willingness to collaborate, and eagerness to innovate and identify solutions
- Actively participates in discussion, proposes ideas, and develops project proposals in collaboration with the campus/site-level Chair and Co-Chair
- Supports outreach efforts and works to mobilize broad, inclusive, and widespread community engagement
- Works in collaboration with committee members and stakeholder colleagues to develop and distribute posters, flyers, messaging, social media posts, etc. to recruit, collect ideas and engage stakeholders in voting.
- Remains committed to ensuring the needs and interest of the entire school community stakeholder group are reflected
Committee Chair/Co-Chair
- Represent site-level committee and stakeholder group on the District Steering Committee meetings and attends all District Workshops
- Attends all site-level committee meetings
- Remains neutral throughout the process but works to ensure that the Safe Schools Participatory Budgeting guiding principles and goals are at the forefront
- Works collaboratively with the campus/site-level PB Sponsor to update stakeholders on project proposal feedback and solicit input
- Communicate site-level committee concerns and ideas to the campus/site-level PB Sponsor, District PB Coordinator, and District Steering Committee
- Supports the PB Sponsor in ensuring equity of voice amongst all participants present for campus/site-level committee meetings
Campus Participatory Budgeting Sponsor
- Leads site-level committee meetings
- Represents the campus/site at District Steering Committee Workshops and meetings
- Facilitates group discussions and site level committee meetings and ensures equity of voice amongst all participants
- Supports stakeholder recruitment efforts at the campus/site level
- Works to ensure diversity and inclusion are an integral component in the site-level committee work, outreach, and representation
- Serves as the main point of contact between site-level committee chairs/delegates, campus/site leadership, campus/site stakeholders and the District PB Coordinator
- Interfaces between campus stakeholder group and District PB Coordinator
- Remains neutral throughout the process but works to ensure that the Safe Schools Participatory Budgeting guiding principles and goals are at the forefront. <OR> Agrees to put the needs and interests of their site-level committee and stakeholder group above their own personal interests, but remains steadfast in ensuring the Safe Schools Participatory Budgeting guiding principles and goals are at the forefront
- Connects stakeholders with information and resources
- Strives to keep stakeholders engaged throughout the entire process
- Supports stakeholders with the tools and information needed for research, outreach, and proposal development
- Identifies potential barriers of engagement to ensure equal access and opportunities for all interested stakeholders
District Accountability Committee
- Reviews ideas submitted during the Idea Collection phase
- Is available to District Steering Committee members for vetting and collaboration through the project proposal phase
- Monitors relevant data points during each phase of the Participatory Budgeting process
- Reviews project proposals, provides feedback and approves ballot initiatives
- Oversees the implementation of winning ballot initiatives
- Will ensure the process is inclusive and guided by District core values and guiding principles for Participatory Budgeting
- Will engage community partners who work with PXU parents and students to deepen engagement
- Will oversee and coordinate public outreach, which will include social media campaigns for recruitment and vote week, District website, campus websites, automatic dialer voice messages, text messages, virtual assemblies, small group meetings, etc.
- Will work with site Leadership and Principals to ensure there is diversity in site-level committee representation
